Reservation Agreement
- All co-sponsors of an event are responsible for the event and subject to any liability associated with the event.
- All persons or groups using the Hetzel-Hoellein Room must abide by our User Rights and Responsibilities regarding the use of the space.
- Approval for the use of the space is subject to the availability and suitability of the space requested and the conformity of the proposed event with library and university policy.
- The Stewart Library reserves the right to impose limits on time, place, manner, and/or size of an event.
- The Stewart Library will terminate reservations for the space during an activity if it is determined that damage is resulting from its use, or that activities are taking place which endanger the health or safety of other persons.
- Activities scheduled may not interfere with the operation of the university or infringe negatively on the surrounding community.
- Events must be conducted in a manner consistent with existing laws and university policies.
- Users of the Hetzel-Hoellein room may be charged for damages to the space or equipment and/or excessive cleaning charges.
Cancellations and No-Shows
Sponsoring groups or organizations may cancel or change their reservations with two business days advance notice. A reservation is considered a no-show if group members have not utilized the reserved area within 30 minutes of the scheduled reservation. The Library Administration holds the right to restrict reservations from individuals or organizations who frequently no-show with the intent of providing equitable access to the space.
Food Policy
Food and beverages are allowed in the space with prior notification during the reservation process. Please place hot foods on a hot pad or barrier before setting on the tables to avoid damage to surfaces. If food or drinks are spilled, please call 801-626-6545 immediately for clean-up assistance.
When your event is finished, please clean up any food from your event and dispose of garbage. Please ask library staff for assistance locating our library dumpster.
ADA Assistance and Accommodations
The space is designed to be ADA accessible, and we are happy to answer any queries regarding assistance and accommodations. The following accommodations are available:
- Closed-captioning (available with advance notification - please contact Library Administration).
- Wheelchair access.
- Elevator access to third floor.

Audiovisual Equipment
The space is capable of hosting a hybrid meeting and has the following A/V equipment available for use:
- Projector with screen.
- Lapel microphones.
- Webcam.
- Room microphone.
- Speakers.
If you would like assistance with setting up or using any of the A/V equipment, please indicate that in the request form so we can have Classroom Tech Services scheduled to meet before your reservation.
Post Event Clean-Up
All spaces should be left as they were found at the beginning of the reservation. Recyclables should be placed in the appropriate marked bins and foods and beverages that spoil should be removed from the room rather than being disposed of in the trash bin. Please ask for assistance and we will be happy to help you dispose of these in a separate location.
If personal items are left at the conclusion of the reservation, the library will do their best to reunite those with the individual, but the Stewart Library cannot accept responsibility for lost, damaged, or stolen personal items.
Decorations
To ensure public safety and guard against property damage, entrances and exits must be kept free of obstacles and must remain unlocked. Additionally, decorations are limited to being displayed on library provided easels or free standing on the tables within the space.
Please do not bring in decorations such as confetti, glitter, fake snow or anything that is difficult to clean up. Please be considerate of our Library and Custodial staff when choosing your decorations. Additionally, burnables, open flame or smoke/fog machines are not permitted to protect our collections as they risk triggering the fire suppression system.
